Manigent.ai ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI agent orchestration platform ("the Service").

1. Information We Collect

Account Information

When you register, we collect:

• Username and password (password is stored as a bcrypt hash)
• Email address (for account verification and notifications)
• Phone number (if provided, for SMS notifications)

Chat Messages and Files

The Service syncs chat messages and chatroom files between your local agents and our server. This includes:

• Messages sent in project chatrooms (stored in CHATS.ndjson format)
• Files shared through chatroom file sync
• Project metadata (project names, chatroom names, participant lists)

Agent Data

We store agent registration information including agent names, descriptions, capabilities, and connection status. Your agent knowledge bases remain on your local machine and are never uploaded to our servers.

Usage Data

We may collect information about how you interact with the Service, including connection timestamps, API usage patterns, and error logs for debugging purposes.

2. How We Use Your Information

We use your information to:

• Provide, maintain, and improve the Service
• Process your account registration and manage your account
• Sync chat messages and files between your agents and the server
• Send you SMS notifications about project updates and agent activity
• Facilitate communication between you and your assistant agent via SMS
• Send email notifications including account verification and security alerts
• Monitor and prevent unauthorized access or abuse of the Service
• Respond to your inquiries and provide support

3. SMS and Text Messaging

If you provide your phone number, you consent to receive SMS text messages from Manigent.ai. These messages may include:

• Project notifications: Updates when agents complete tasks, new messages in your chatrooms, or project status changes
• Assistant communication: Messages from your personal assistant agent relaying information, asking for input, or providing status updates
• Account alerts: Security notifications and account-related updates

Message frequency varies based on your project activity. Message and data rates may apply.

Opt-out: You may opt out of SMS notifications at any time by updating your account settings or replying STOP to any message. Opting out may limit certain features that rely on SMS communication with your assistant agent.

4. Data Storage and Security

Manigent.ai follows a local-first architecture:

• Your agent knowledge bases and proprietary domain data remain on your local machine
• Only chat messages and chatroom files are synced through our server
• Passwords are hashed using bcrypt before storage
• Authentication uses time-limited JWT tokens
• WebSocket connections maintain real-time sync with the server

We implement reasonable security measures to protect your information, but no method of transmission or storage is 100% secure. We cannot guarantee absolute security.

5. Google Workspace Integrations (Google Drive, Gmail & Google Calendar)

Manigent.ai lets you build a team of AI agents that work for you on your explicit instruction. If you opt in, certain agent skills can connect to your Google account so that an agent can read from or act on your Google services on your behalf. You grant access through Google's standard OAuth consent screen, and only for the scopes required by the skill you use:

• Google Drive — read your files and folders (read-only access), and read and write the contents of Google Sheets, when you direct an agent to work with your documents or spreadsheets.
• Gmail — read your messages, and compose, send, and label email on your behalf.
• Google Calendar — read your events, and create or update events you schedule through an agent.

How we handle this access:

• Request-scoped, user-directed access only. An agent accesses your Google data solely to carry out the specific action you instruct it to perform at that moment (for example, summarizing a document, answering a scheduling question, or drafting and sending an email you directed) — never for background scanning or any purpose you did not initiate.
• We do not persist your Google data. We do not store, cache, or copy your Google Drive files, Gmail messages, or Calendar events on our servers. Such data is processed transiently in memory to complete the requested action and then discarded. The only exceptions are (a) content you explicitly instruct an agent to store, and (b) the agent's own generated output produced in response to your request — for example, a summary it wrote, or the text of an email or calendar entry you directed it to create — which is retained solely to serve you. Your OAuth authorization token is retained (on the machine running your agent) so the connection stays active until you revoke it.
• No secondary use. We do not use your Google Workspace data to train, develop, or improve any generalized machine-learning or artificial-intelligence models, for advertising, or for any purpose other than performing the actions you request. When an agent uses a third-party AI model to fulfill your request, your data is sent to that model only to complete the request, under terms that prohibit using it to train or improve the provider's models.
• No sale or transfer. We do not sell your Google user data or transfer it to third parties, except (i) to the AI model provider that processes your request as described above, (ii) as needed to provide the specific action you requested, or (iii) as required by law.
• Revocable at any time. You can review and revoke Manigent.ai's access to your Google account at any time via your Google Account security settings.

Manigent.ai's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

6. Third-Party Services

We use the following third-party services to operate the platform:

• SendGrid: For sending email notifications, account verification emails, and waitlist confirmations. SendGrid's privacy policy applies to email data processed through their service.
• Google Workspace APIs (Drive & Gmail): When you authorize a Google integration, we call Google's APIs to perform the actions you request, as described in the "Google Workspace Integrations" section above. Google's Privacy Policy applies to data processed through their services.

We do not sell your personal information to third parties.

7. Data Retention

We retain your account information and synced data for as long as your account is active. Upon account termination:

• Your account credentials are removed from our authentication system
• Synced chat messages and files associated with your projects may be deleted
• Your local data (knowledge bases, sandbox files) is unaffected and remains under your control

We may retain certain data as required by law or for legitimate business purposes such as fraud prevention.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your account and associated data
• Opt out of SMS and email communications
• Export your data

9. Children's Privacy

The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected information from a child under 18, we will promptly delete that information.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or through the Service. The "Effective Date" at the top of this page indicates when this policy was last revised.
