Send within 24 hours of the in-person meeting. The yellow placeholders are what you fill in.

How to use this

  1. Right after your meeting, jot down the one specific thing they cared about most. Anything: a schedule date, a pain point with a past sub, a budget number, a scope concern, even something personal.
  2. Open your email, paste the template below, and replace each yellow placeholder with the real detail.
  3. Send within 24 hours of the meeting. Faster is better. Most subs never send anything.
  4. One sentence about something personal at the end is fine if it fit the tone of the meeting. Skip it if the meeting was strictly business.

Thank you for taking the time today to sit down with me on the {{ project.name }} build. I appreciate you walking me through how {{ project.gc }} approaches the project schedule and what you have run into with subs in the past.

One thing I want to commit to in writing before you make a decision: [the specific commitment you heard them care about most -- examples: "I will be on site personally every day during rough-in," or "I will have the submittal package on your desk within three weeks of award," or "I will coordinate with the other trades before any work gets hung in the ceiling"]. That is the one I will not move on.

A couple of things you mentioned that I want to address directly in the bid:
